A single-vendor team plan gives a company shared billing and administration for that vendor's own assistant. Everything your people do happens inside one provider's product, and the model choice is whatever that provider ships.

A managed workspace is a layer above the models. Members work in one place, administrators set which models are available, what standing instructions apply and which company material is attached, and the record of usage belongs to the company rather than to each person's account.

Both are legitimate. Which one fits depends on whether being tied to one provider is a simplification you want or a constraint you will regret.

What to verify with the vendor, in writing

Third-party plans change often enough that any comparison table — including ours — ages badly. Ask both vendors the same questions and record the date of the answer.

  • Which models are available today, and what notice you get when that changes.
  • What an administrator can restrict, and what members can override.
  • Whether prompts and files are used to train models, and where that is documented.
  • What is retained, for how long, and what you can delete.
  • What admin reporting exists, at what level of detail.
  • What happens to data and access at cancellation.
  • Which certifications, audits or contractual commitments exist, and whether you can see the evidence.

Which one fits

A single-vendor team plan is usually the simpler choice when:

  • Your people are happy inside one provider's assistant and have no reason to compare models.
  • You mainly need shared billing and basic administration rather than company-set rules.
  • The team is small enough that consistency is maintained by conversation, not configuration.

A managed multi-model workspace tends to fit when:

  • Different tasks suit different models, and you do not want that to mean different subscriptions.
  • Output has to be consistent across teams, which requires shared instructions and attached company material.
  • You need a usage record by workspace, member and model to make access and budget decisions.
  • Teams must be kept separate from each other's context.
  • You want the model set to be a setting you can change, rather than a vendor you are married to.

It replaces the structure — one place to work, with company-set rules across several models — rather than a specific product. Whether it replaces your current subscription depends on what your teams use it for, which is worth checking against your own usage before switching.
Why compare structures instead of features?
Because vendor feature lists change monthly and the structural difference does not. Model choice, who sets the rules and who owns the usage record are still the decisive questions a year from now.
Can we run both for a while?
Yes, and many companies do during evaluation. Run one team in a governed workspace with real work and real rules, keep the existing plan, and compare after a few weeks using the usage record rather than impressions.
Does multi-model access mean every model is included?
